Build a material schedule before comparing prices
Give each line a stable reference linked to a drawing or image. Include the store area, nominal dimensions, quantity and unit. Mark whether a reference fixes the appearance, construction or both. A photograph of a counter does not establish its internal structure; a tile image does not establish its floor suitability.
Keep fixed requirements separate from options that need advice. Where the finish, mounting or destination documentation remains open, write “to be confirmed”. This makes supplier questions visible instead of allowing different assumptions to hide inside apparently comparable unit prices.
Give each product family its own approval questions
| Family | Information to clarify |
|---|---|
| Commercial tiles | Floor or wall use, surface, format, thickness, batch references and relevant test information. |
| Display fixtures | Dimensions, loads, materials, finish, joints, assembly, fixings and packing. |
| Decorative materials | Actual substrate or fabric, texture, edge treatment, care and project-specific documentation. |
| Retail lighting | Voltage, track or mounting system, optics, colour quality, drivers and control compatibility. |
Use a shared approval register
Record sample identifiers, revisions and who can approve each item. Separate appearance approval from dimensions, function and packing approval. A decision about one finish should not silently approve the rest of a fixture or another product family.
Ask what a proposed alternative changes: material, visible colour, thickness, fixing, maintenance or delivery sequence. Keep the original reference and the accepted substitution in the same record. For repeat stores, identify which details must remain consistent and which can vary by location.
Plan packing and handover with the store team
A mixed order needs clear carton and pallet identification. Request labels that connect products with the material schedule, and distinguish store-ready packs from consolidated bulk packs. Confirm unloading constraints, fragile surfaces, assembly instructions and any spare components to quote separately.
Work back from the intended opening date to sample decisions and review milestones. Requested dates are planning inputs until the relevant suppliers confirm their scope. Hyaline can review your material list and coordinate the next sourcing and quality questions; local design approval and installation remain with the project team.
Buyer questions
Can I enquire before the drawings are complete?
Yes. Send the available list, references, quantities and destination. Identify provisional dimensions and decisions that still need design input so the initial review is not confused with a production specification.
Does one contact mean one universal quality checklist?
No. Tiles, textiles, fixtures and electrical products require different references and checks. Coordination connects the records; it does not replace product-specific technical review.
